HomeMy WebLinkAbout2021-03-04TEEN COURT ADVISORY BOARD MINUTES MEETING OF MARCH 4, 2021 STATE OF TEXAS § COUNTY OF TARRANT § CITY OF BEDFORD § The Teen Court Advisory Board of the cities of Hurst, Euless and Bedford, Texas met at 6:00 p.m. by video conference on the 4th day of March, 2021 with the following members present: HURST: Lorrie Dickerson, Bien Camungol EULESS: Robin Edwards, David Lawwill, Joe Robinson, Renu Sloan BEDFORD: Sara Steves TEEN REPRESENTATIVES: Hurst Council Liaison — Bedford Council Liaison — Euless Council Liaison — Eddie Price HEB Teen Court Coordinator — Mindy Eichorst HEB Senior Teen Court Clerk — Also present: Hurst City Secretary — Rita Frick Euless Court Manager — Claudia Quintero Bedford Court Manager — Doug Campbell Hurst Court Manager — HEB Teen Court Teen Liaison. Bedford Administrative Services Director - MEMBERS NOT PRESENT: Chris Morrison, Kathleen Toms CALL TO ORDER Chairperson David Lawwill called the meeting to order at 6:02 p.m. with a quorum of seven Board Members present. APPROVAL OF MINUTES 1. Consider approval oft following Teen Court Advisory Board minutes: a) February 4, 2021 Regular Meeting Joe Robinson made a motion to approve the February 4, 2021 regular meeting minutes and Robin Edwards seconded the motion and all were in favor. 2. Introductions Introductions were done. OLD BUSINESS 3. Discuss Fundraising Options. Teen Court Coordinator Mindy Eichorst mentioned she had reached out to the City Attorneys for each of the cities about having the online fundraising opportunity for raising scholarship funds. There were some points for consideration that needed to be followed while planning the online fundraising. A few points of consideration was that only a few organizations are permitted to hold a raffle, according to one of the Texas Statues and HEB Teen Court does not meet the requirements of one of the organizations. Due to the COVID-19 pandemic, a silent auction could be held virtually. Accepting charitable donations through Fundly would be acceptable. One other consideration includes the donation of city activities for fundraising purposes. There were no issues with "Lunch with the Mayor" as the Mayor is an elected official as opposed to having a City Manager, Police Chief, or Fire Chief are hired by the city. The Advisory Board Members were discussing the different Sponsorship Levels and what incentives (if any) should be with each level. The donations options are as follows: $500 - be able to try out the scenario -based Simulator (provided by the Euless Police Department) $250 -have lunch with one of the Mayors. $100 — receive a certificate $50 — receive a t-shirt $25 —donation Councilman Price will check with the Euless Police Department to see if the simulator is an option. Vice -Chairperson Sara Steves asked if the t-shirts would be purchased or donated and what type of design would be on them. Chairperson David Lawwill asked if there was a certain business that the City of Bedford utilizes. Teen Court Coordinator Mindy Eichorst mentioned she could check with the Special Events Coordinator to see who they use and what a cost might be. Renu Sloan asked if there would be silent auction items online along with the donations. Chairperson Lawwill mentioned there were two different platforms (Fundly and an online silent auction). It was asked if possibly All for G0000000d, who has assisted the past silent auctions at the Gala might be able to assist with an online silent auction. Ms. Eichorst mentioned she could check with them to see what they offer. Joe Robinson asked if Advisory Board members were supposed to go to businesses and ask for donations for the Fundly platform or for the silent auction. Chairperson Lawwill recommended starting first with the Fundly platform first and then looking into an online silent auction platform. 4. Discuss and possibly take action on a location and date for a reception for the Scholarship Recipients. Renu Sloan asked if everyone wants to have refreshments, such as cake and drinks. Sara Steves mentioned due to social distancing and sanitary issues, maybe having individually wrapped snacks. Lorrie Dickerson added an idea of individual boxes with a small bag of popcorn or cupcake, candy, and a drink. A discussion of where to have this event and who would be invited. The amount of people who should be the event would need to be limited and based upon where the event will take place. One suggestion would be the Bedford Public Library large meeting room where everyone would be able to social distance and feel safe. To limit the amount of invitees, a suggestion of City Council Liaisons, Mayors, Advisory Board Members, Teen Recipients and their parents, and minimal staff be present. Sara Steves suggested the event be live streamed for those unable to attend in -person. 5. Discuss and possibly take action a new date for the Teen Court Scholarship Committee Meeting. The Teen Court Scholarship Committee Meeting will be on Tuesday, March 23, 2021 at 6:00 p.m. at Bedford City Hall, Large Conference Room, Building C located at 1805 L. Don Dodson Drive. NEW BUSINESS 6. Discuss and possibly take action on a date for the next Teen Court Advisory Board Meeting. The next Teen Court Advisory Board Meeting will be on Thursday, April 1, 2021 at 6:00 p.m. via videoconference (Zoom). Ms. Eichorst presented the Coordinator's Report for February 2021. Ms. Eichorst presented the Teen Court Scholarship Fund Report.
