HomeMy WebLinkAbout2004-02-09 Historical Preservation Committee Minutes February 9, 2004 Call to Order Chairman Bill Byers called the meeting to order at 10:07 a.m. Members Present Bill Byers,Michele Burger,Thomas Stover, Betty Fuller, Dan Clark, Craig Ward, Weldon Cannon, Helen Payton,Nell Hicks, Evelyn Himes, Ralph Williamson,Don Tharp,Iva Nail and Robert Nail Visitors Alex Horton Staff Present Gary McKamie, Deputy City Manager Suzanne Hendrickson, Recreation Manager Ofa"Mary"Faiva-Siale,Recreation Specialist-Projects&Events Treasures Report Treasurer Robert Nail reported a balance of$6,294.88. Approval of Minutes Ralph Williamson made a motion for the minutes to be approved. Helen Payton seconded the motion. Motion approved. Old Business 1. Michele Burger reported that Ofa"Mary" has a new message on the answering machine, which directs people to call her in case no one is available at the Museum. 2. Mrs. Burger showed the committee a photograph of a Log House in San Antonio that had hidden electricity wired into the house. 3. The following discussion was held regarding the Acquisition Committee: a. Dan Clark made a motion that all items loaned or donated to the Museum be approved by the Acquisition Committee prior to acceptance. Mr. Clark further suggested that if items are offered to individual committee members, donors should be advised that his or her gift would go before the committee to review for acceptance. Approval of donations should be done as a committee. It was further explained that the committee's purpose in this process is to ensure that only time appropriate items are accepted, since room is limited at the Museum. Betty Fuller seconded the motion, committee members agreed, motion approved. b. In addition,Mr. Clark made a motion that the Historical Preservation Committee make a formal request to the Parks and Community Services Department for a part time employee to work for the Museum 4 hours a week. Mr. Clark mentioned that the committee would gather all current and future data regarding loaned or donated items and the employee would input this data. Robert Nail seconded the motion. Motion approved with Michele Burger voting in the negative. c. In reference to the attached motion presented by the Acquisition Committee, Weldon Cannon pointed out that the Himes Log Cabin referred to in Item 1: Background...should be Himes Log House. d. Since Troy Fuller gathered most of the data currently on file, Robert Nail spoke with him regarding what the committee is proposing. Mr. Fuller expressed his willingness to help the new employee and the committee to update this information. e. Suzanne Hendrickson will get with Johnny Rodriguez regarding pictures of items located in the Fuller House. It was reported that current data at the Museum is stored in Microsoft Word. f. A brief discussion was held regarding contacts that the Acquisition Committee members made regarding liability waiver forms used by other cities. Several sample forms have been gathered and the Acquisition Committee will look into tailoring one for the Euless Historical Committee. g. The Acquisition Committee will meet again on March 3, 2004, at 10 a.m. New Business 1. Bill Byers introduced Alex Horton to the committee. Mr. Horton spoke regarding the Euless wine sales tax bill to be voted on September 11, 2004. 2. Weldon Cannon briefly discussed an article he came across that mentioned Euless and Moody Fuller. The article is from the late 1800's and it appeared in the Grapevine paper. Copies of the article were given to Iva Nail, Helen Payton, Betty Fuller and Evelyn Himes. 3. Weldon Cannon donated a copy of a U.S. Department of Agriculture soil survey map to the museum. The map is from 1920. 4. Committee members inquired about Mrs. Willie Mae McCormick. Iva Nail reported that she briefly talked to Mrs. McCormick and she is out of the hospital and recovering at home. Committee members expressed their regret that Mrs. McCormick was not able to attend the meeting. 5. Mr. Cannon mentioned that he will be speaking at Tarrant County College regarding the history of Euless and the surrounding areas. 6. Michele and Dan Burger will not be able to act as docents this month. Bill Byers offered to replace her and Helen Payton will see if she could be available to help Mr. Byers. 7. Suzanne Hendrickson reported on the following: a. Gave the committee information on a company that does Historical quilts and blankets. b. Gave committee members copies of the City of Euless Tax Exemption form. c. Reported that the light cover on the kitchen light had fallen and shattered on the floor last week and it was replaced. d. Suzanne Hendrickson will order the"swing panel"display board previously requested by the committee. e. Informed the committee that the City could laminate maps donated to the Museum. f. Suzanne reminded committee members that the Community Garage Sale will be on Saturday, February 21st from 9 a.m. to 1 p.m. g. Also reminded the committee that the Arbor Daze Premier Night Auction will be on March 6, 2004, at 7 p.m. at the Texas Star Conference Center. Auction items are listed on the city web-site in case anyone wants to see them. 8. Betty Fuller and Jean Whitener will be docents in March. Adjournment Chair, Bill Byers adjourned the meeting at 11:43 a.m. Respectfully submitted by Ofa"Mary"Faiva-Siale Recreation Specialist, Projects &Events Euless Parks & Community Services Historical Preservation Committee Acquisition Committee Minutes March 1,2004 Call to Order Sub-committee chair, Dan Clark called the meeting to order at 10:00 a.m. Members Present Dan Clark, Helen Payton, Michele Burger, Thomas Stover,Nell Hicks Staff Present Suzanne Hendrickson Ofa"Mary"Faiva-Siale Old Business 1. The committee reviewed sample "donation release" forms from other cities. It was decided that committee members would review these forms and select a few that could be used as a guideline for a City of Euless release form. a. Acquisition Committee members agreed to ask the full committee whether it wants to accept items on an"on loan"basis. Sub-committee members expressed concerns regarding accepting items on an"on loan"basis due to possible liability issues in case of damage or loss to such items. It was further discussed that if"on loan"items were to be accepted, an additional clause should be added to release the Committee from liability responsibility in case of loss or damage. 2. Mr. Clark suggested that each sub-committee member bring suggestions to the next meeting on what types of information he or she would like included in the Museum's inventory form. For example, age of an item, donor's name, item's worth, etc. Committee members agreed to do this. a. Suzanne Hendrickson would like for the computer located at the Fuller House to be relocated temporarily to the Parks & Community Services building so that updating and maintenance of current inventory files may be completed. b. Mr. Clark asked that a new inventory be taken of all items in the museum. It was suggested that two people act as a team and inventory items in the museum. After all items have been inventoried, it would then be sent to the Parks and Community Services department to be entered into the computer. It was further discussed that a separate list of items used during meetings is kept and a separate list of museum artifacts is also maintained. c. Mr. Clark inquired as to whom would keep these records after it was updated. Suzanne Hendrickson mentioned that it would be a part of the Parks& Community Services permanent records. New Business 1. Mr. Clark reported that the"wish list"will be in the April issue of Euless Today. 2. Michele Burger offered to donate an old gas heater to the museum. The Committee will review the donated item for approval. 3. Thomas Stover suggested that only items from the 1930's be accepted by the museum. 4. The next Acquisition Committee meeting will be on Monday,April 5, 2004 at 10 a.m. at the Fuller House.
